The Village Clerk is designated to be the records access officer, who shall have the duty of coordinating responses to public requests for access to records pursuant to the Freedom of Information Law[1]. The Board of Trustees may designate one or more other persons to be additional records access officers for such purposes.

Records shall be maintained at the Village office, or at such other location as may be authorized by the Board of Trustees. Requests for inspection, production or copying of records shall be made during normal business hours and shall be in writing, in sufficient detail to permit identification of the records which are the subject of the request.
Appeals from denial of access to records, including constructive denials, shall be made in writing within 30 days of the determination of the records access officer sought to be reviewed. Appeals shall be determined by the Mayor in writing, pursuant to the Freedom of Information Law[1].

Unless a different fee is prescribed or permitted by law:
A. 
There shall be no fee for the following:
(1) 
Inspection of records.
(2) 
Search for records.
(3) 
Preparation of copies of records.
B. 
The Village shall charge fees for copies of records in accordance with the Freedom of Information Law[1]. If permitted by law, the Board of Trustees may, from time to time by resolution, establish and amend a schedule for copying fees other than those provided in the Freedom of Information Law.

The Village shall adopt and follow the Records Retention and Disposition Schedule issued and from time to time in effect pursuant to Article 57-A of the Arts and Cultural Affairs Law.
In accordance with Article 57-A:
A. 
Records described in such Records Retention and Disposition Schedule may be disposed of only after they have met the minimum retention period prescribed therein.
B. 
Records which are eligible for disposition, but which have sufficient administrative, fiscal, legal or historical value to merit retention beyond established time periods, may be retained in the discretion of the Village Administrator, or as directed by the Mayor or Board of Trustees.
