(a) 
For the services listed below expended in locating or making available records or copies thereof, the following charges shall be assessed:
(1) 
Copies.
For office machine black and white copies of pages up to and including legal size for 50 pages or less of readily available information, the charge shall be 0.25 cents per page. For office machine color copies of pages up to and including legal size for 50 pages or less of readily available information, the charge shall be 0.35 cents per page. For office machine black and white copies of pages larger than legal size for 50 pages or less of readily available information, the charge shall be 0.40 cents per page. For office machine color copies of pages larger than legal size for 50 pages or less of readily available information, the charge shall be 0.80 cents per page.
(2) 
For more than 50 pages of readily available information, the charge shall be $5.00 for the first page plus the costs in subsection (1) above shall apply for each additional page.
(3) 
For any quantity of information deemed to be not readily available, the actual charge shall be the combined components of $1.00 for the first page and 0.25 cents for each page thereafter, plus labor costs incurred by the town in providing the requested information. The rates shall be charged on a quarterly hour basis. The rates shall be as follows for a search: $25.00 per hour or $6.25 per 1/4-hour.
(b) 
For copies of nonstandard sized pages of records in computer banks, or in other similar recordkeeping systems the charge of copies will be determined by written consultation with the material section of the centralized services division of the state purchasing and general services commission. The charges will include, but are not limited to labor hours and rates, computer time and rates, costs of materials such as computer tapes, paper, fiche, cassettes, and printer supplies and applied overhead by component and application base.
(c) 
Should a person request copies of information comprised in any form other than up to standard sized pages or in computer record banks or other similar recordkeeping system, if available, allow immediately to view record if possible. If copy requested previous determination has not been made for costs of the copy, phone state purchasing and general services commission with the following information:
(1) 
Cost of material (computer paper, computer tapes, paper, fiche, cassettes, and printer supplies) to reproduce.
(2) 
Cost of labor to research and reproduce.
(3) 
Cost of overhead (computer time, rates and component/application base.)
(4) 
Consult with the material management section of the state purchasing and general services commission to determine the appropriate charge for the copy.
(5) 
If the state purchasing and general services commission will determine the costs of the copy by phone, make the copy of the record, charge the requestor at the rate determined by the state purchasing and general services commission and send a letter to the SPGSC confirming the phone call setting the price.
(d) 
The cost of overhead and labor shall be sent at an average rate for clerical and charged on a quarter-hour basis. The following rates shall be charged on a request taking less than ten (10) hours to produce: $2.50 each 1/4 hour.
Example: Document Duplicate Recording of Council Meeting
Time - Search and reprinting - 5 hours @ $2.50 = $12.50 Cost of Supplies: 3 cassettes @ $2.95 - $8.85 plus .70 cents tax = Total Amount Due $69.55.
(e) 
For requests requiring more than ten (10) hours to produce the rate for services shall be set at the following: $2.50 each 1/4 hour.
(f) 
Actual cost shall be charged for overhead (computer time and rates, printing supplies and component/application based overhead) and costs of materials.
(g) 
No charge shall be made for one copy of any public record requested from state agencies by members of the legislature in the performance of their duties.
(h) 
The charges for copies made by the municipal court of the town shall be at no charge.
(i) 
Certification: For certification of true copies the charge shall be $5.00.
(j) 
Attestation: For attestation under the seal of the town the charge shall be $5.00.
(k) 
The town shall add postal related expenses which may be necessary to transmit the reproduced documents to the requesting party to the charges pursuant to this subsection.
(l) 
Faxes.
For use of the fax machine the charge will be 0.50 cents per page. The cost to receive a fax will be $1.00 for the first page and 0.50 cents per page for each page thereafter.
(m) 
Police Reports.
The charge for obtaining a copy of a police accident report will be $6.00.
(n) 
Fingerprinting.
The charge for fingerprinting by the police department will be $15.00.
(o) 
CD, DVD or Cassette Recording.
The charge for producing a CD, DVD or cassette recording by the police department or the administration department will be $15.00.
