Title.
This article shall be known as the "Records Retention Article."
§ 98-25
Retention periods.
A.
The following records shall have a retention period of one year:
(1)
Parking citations may be destroyed or otherwise permanently disposed of one year after the date of issuance.
B.
The following records shall have a retention period of two years:
(1)
Municipal Court warrants which have been previously audited.
(2)
Water, sewer, garbage and utility receipts and statements which have been previously audited.
(3)
Miscellaneous petitions and letters addressed to the governing body on matters other than pertaining to the items hereinafter set forth.
(4)
Utility billing ledger or register.
(5)
Utility cash receipts ledger or register.
(6)
Utility accounts receivable ledger or register.
(7)
Fire-run contracts may be destroyed or otherwise disposed of two years after their expiration.
C.
The following records shall have a retention period of five years:
(1)
Successful and unsuccessful bids for the purchase or furnishing of equipment, material and improvements.
(2)
Claims that have been denied.
(3)
License applications.
(4)
Bonds.
(5)
Special, primary and general election payrolls.
(6)
Election tabulations and returns.
(7)
Withholding statements.
(8)
Garnishment records.
(9)
Traffic tickets and receipts.
(10)
Bond receipts and fine receipts.
(11)
Information and complaints.
(12)
Court dockets.
(13)
Paid general obligations and revenue bonds.
(14)
Paid street improvement, sewer and sidewalk district bonds.
(15)
Warrants.
(16)
Claims.
(17)
Checks.
(18)
Vouchers.
(19)
Purchase orders.
(20)
Payrolls.
D.
The following records shall have a retention period of 10 years:
(1)
Inspection records.
(2)
Inventories.
(3)
Appropriation ledgers.
(4)
Sidewalk assessment records, except payment records.
(5)
Cash receipt book or register for the general fund, the street and alley fund, any bond fund or sinking fund and all other trust funds that have been audited.
E.
The following records shall have a retention period of 15 years: sewer and improvement district records, except payment records.
