The Township of Weymouth intends to provide certain celebrations
of public events for its residents throughout the calendar year. Due
to the limited number of paid staff, it is necessary to seek assistance
from volunteers to plan and execute these programs.
Weymouth Township recognizes the need to guide and direct these celebrations
as to safety and liability issues as well as providing oversight and
approval for all funding issues.
A Special Events Committee is established in the Township which will
consist of five residents of the Township, who shall be appointed
by the Township Committee to serve for a term of three years each.
In the first year, the Township Committee shall appoint five members
to serve for a one-year term, or until the first of January of the
following calendar year, or whichever is the shorter period of time.
On the first day of the following January, two appointments shall
be made for a three-year period and the balance of the appointments
shall be made for a one-year period. On the next following January
1, any and all appointments made shall be for a three-year period.
In the event that a vacancy should occur, during the appointed term
of any member of this Special Events Committee, whether caused by
death, incapacitation, movement to a residence outside the municipality,
or removal for cause under appropriate statutes by the Township Committee,
the Township Committee shall appoint an individual to fill each vacated
post on this Committee for the balance of the unexpired term of membership
slot so vacated.
The five persons appointed by the Township Committee may identify
and include such additional volunteer members as they may deem necessary
for the good of the organization.
The Special Events Committee shall meet at least once each six months
and shall file a list of proposed activities to the Township Committee
for review and approval prior to making any commitments. All funds
for these special events are to be approved by the Township Committee
and handled through the Chief Financial Officer for the Township.
Review and approval of all events must also be provided by the Risk
Management Consultant for the Joint Insurance Fund which provides
coverage to the municipality. All donations from individuals, businesses
or agencies received to support the special events provided by Weymouth
Township through this Committee will be deposited by the Chief Financial
Officer for Weymouth Township in a bank account designated specifically
for special events activities.
